A wedding day is probably the most memorable day of anyone's life. As a wedding photographer, the job of capturing someones most important day in their life should be taken very seriously. The bride and groom have most likely been planning their special day for quite some time, if not weeks, months and possibly even longer. You want to show your clients that you are just as serious about their wedding as they are. You can do this by being very organized to show your professionalism. You should plan out your clients photo shoots well in advance for a couple of reasons, one to help keep you organized, and two to let your clients now that you are serious and organized. Read on for more tips on organizing your own wedding photo shoots.
It is most common for the couple to seek out your services months in advance. The time in advance varies and it could be anywhere from a month to a year ahead of the actual wedding day. With the initial contact, you should meet in person with your prospective clients to discuss their personal wedding photography needs. At this time, you can show your clients your portfolio or discuss any promotional packages you have. You can also discuss rates, special products that you may offer, and answer all of their questions they might have.
At this time, you should provide a contract and have your clients sign it. You will also want to collect a 50% retainer which will reserve their special day with you. Once you have a signed contract and deposit, it's wise to discuss the details of the event, like location, number of attendees, how many family photos are expected. You will also want to discuss the timing of the event in relation to photographs being taken to give your clients some realistic expectations.
After the initial meeting, contract signing and deposit collecting, you will still want to keep in touch with your clients. About a month before the event, you will want to contact your clients. At this time you will want to make sure all of the information you have is correct, and remind your clients about the realistic expectations you had previously discussed. A week before the wedding you will want to contact your clients again to make sure everything still stands.
Before the wedding, perhaps the day before, or even a few days before, you will want to get organized. This can include checking all of your gear to make sure that everything is working properly. Make sure that you charge all of your camera, flashes and spare batteries. Clean your lenses thoroughly and make sure that you've packed everything you will need. The night before the event, make sure you get lots of rest as you may not even have time for a break the day of the wedding.
Following this timeline loosely will help you to prepare ahead of time for your wedding photo shoot. It will also help to comfort your clients worries by showing them that you are professional and organized. Bring the timeline with you to the event to help keep you on task. Now that you know the basics from contract to timeline, begin to organize your own checklist so that you are prepared for every wedding you shoot in the future.
